Planning Tips for your Chattanooga Wedding or Event

If you want to pull off a successful, low-stress, and enjoyable event– be it a wedding, corporate event, or all-around clambake– you’ve got to be strategic about the planning side of things. “Best laid plans” is a saying for a reason, and just think where you could wind up if your plans aren’t of the best-laid variety at all? What if your plans are half-hatched, and disorganized? In that case, the odds may be stacked against you when that big day arrives. That’s why it’s paramount to be intentional and thorough during the planning stages, so when the day of your special event is upon you, you can coast through and enjoy it without worry.

Our team at Chattanooga Tent & Event Solutions is versed in the art of event planning. We understand what it takes to pull off a special event, and we want to help you in any way we can if you’re working with us in any capacity. We can help with everything from the wedding tent rentals to the minute details, and we’ve got decades of experience in the event planning realm. 1) Communication

Communication is key in most things. When you’re planning an event, it’s vital to facilitate open lines of communication between all parties involved, from vendors to participants, and everyone in between. Each cog in the machine has an important role to play, and ensuring they all move together seamlessly will make all the difference in the overall success of your event. Clear communication and full understanding of roles and responsibilities will be the balm that brings it all together in the end. So what we’re saying is– TALK to each other!

2) Organization

This is a big one– organization. Just as important as talking about the details is keeping track of them all somehow. Shareable documents are a great help in this area (ie. Google Docs and Sheets), and give everyone involved the opportunity to make edits and stay abreast of changes as the event date approaches. Keeping everyone on the same page will be key! Make sure little things don’t fall through the cracks by having a centralized, agreed upon method for sharing and managing all the important details of your wedding or event.

3) Timeline

Develop, fine tune, and stick to your timeline! Map out the event to create your preferred timeline, then begin to work with each vendor adding their details to flesh it out. Working this up ahead of time, and with each vendor or person involved, will help you create a timeline that addresses each component of your wedding or event, while also giving each party an opportunity to address any potential concerns well ahead of time. No curveballs. The more prep work you do, the less chance for curveballs. We’re trying to keep you curveball free here, friends.

4) Checklist (and then Double Check the List)

Working with a checklist is a great way to further organize your event details, and yet another safety net to make sure nothing falls through the cracks detail wise. Draft and share a checklist of all details and work with all your vendors to make sure everything is buttoned and zipped before the big day. Work on this list early, and make revisions as your event date draws nearer. The more plates you have in the air, the easier it is to drop one– so lean on lists to keep everything in check. This checklist will also provide a certain overall peace of mind, and a sweet sense of satisfaction each time you get to check something off!

From wedding tent rental, to planning tips, to event product rentals– Chattanooga Tent & Event Solutions can help ensure your event goes off without a hitch!

5) Consult with a Professional

Last but definitely not least, is to work with a professional event planner or coordinator. Even if you don’t hire an event coordinator to fully plan and execute your event, you can still draw from their experience through research and consultations. Our staff at Chattanooga Tent is happy to serve as a sounding board for you as you wrangle all the necessary details that bring your wedding or event together.
